Retreat Agreement & Waiver

Please read the following terms and conditions (this “Agreement”) carefully. Each retreat guest must agree to and sign this Agreement to book and/or participate in any retreats or other services (collectively, the “Services”) provided by Inside Story, LLC, a Washington limited liability company (“Inside Story,” “we,” or “us”). By signing hereunder, you agree to the terms and conditions written below.
Inside Story is the owner of all of its itineraries and other materials provided on our website or directly to you.
This Agreement, along with our Privacy Policy, Consumer Health Data Privacy Policy, Terms of Use, and Terms of Sale, which are incorporated herein by reference, constitute the entire understanding and agreement between you (“you” or “your”), other members of your traveling party, and Inside Story with respect to your purchase of the Services.
Retreats
We offer several retreat options to guests. More information about each retreat can be found here.
Seller of Travel Registration and Disclosures
Inside Story LLC is registered as a seller of travel with the State of Washington (Registration No. 605351704) and the State of California (CST 2174383-40). Registration as a seller of travel does not constitute approval by the State of California. Our business address is Unit 280, 305 E 1st St, Cle Elum, WA 98922, and our business telephone number is (425) 341-3888.
This Seller of Travel is not a participant in the California Travel Consumer Restitution Fund. California law requires certain sellers of travel to have a trust account or bond. This business has a trust account. By signing this Agreement you acknowledge that you have received this disclosure.
Upon cancellation of the transportation or travel services, where the passenger is not at fault and has not canceled in violation of any terms and conditions previously clearly and conspicuously disclosed and agreed to by the passenger, all sums paid to the seller of travel for services not provided will be promptly paid to the passenger, unless the passenger advises the seller of travel in writing, after cancellation.
If transportation or other services are canceled by the seller of travel, all sums paid to the seller of travel for services not performed in accordance with the contract between the seller of travel and the purchaser will be refunded within thirty days of receiving the funds from the vendor with whom the services were arranged, or if the funds were not sent to the vendor, the funds shall be returned within fourteen days after cancellation by the seller of travel to the purchaser unless the purchaser requests the seller of travel to apply the money to another travel product and/or date.
The accommodation providers and other suppliers for your retreat, the retreat dates, and the meeting point are set out on the retreat page and in your booking confirmation and payment receipts. Cancellation and change penalties apply to these arrangements as set out below, and details will be provided upon request.
Eligibility and Residency
Our retreats are offered to guests who are at least 18 years of age. We do not currently accept retreat bookings from residents of Florida, Hawaii, or Iowa, and by booking you represent that you are not a resident of any of those states. If you reside outside the United States, you are contracting with Inside Story, LLC in the United States and this Agreement, including its governing law and dispute resolution provisions, applies to your booking.
Travel Reservation and Payment
At the time of booking your retreat, a non-refundable deposit of $1,000 per person is due to secure your hotels/lodging accommodations, any restaurant reservations, and/or other experience-related reservations. Your travel reservation is confirmed only upon Inside Story’s written acknowledgment.
The remaining balance of your retreat price is payable in three equal installments, due 150 days, 120 days, and 90 days prior to the retreat commencement date. The installment amounts and due dates are shown at the time of booking and in our booking platform. If you book fewer than 150 days before the retreat commencement date, any installment dates that have already passed are combined into your next payment; if you book fewer than 90 days before the retreat commencement date, the full retreat price is due at the time of booking. You may pay any installment, or the full remaining balance, earlier than its due date if you wish.
If you authorize automatic payments at the time of booking, you agree that Inside Story and its payment processor, Stripe, may store your payment card details securely and charge each installment to that card automatically on its due date. If you do not authorize automatic payments, you are responsible for paying each installment by its due date using the payment options offered in our booking platform.
If any installment is not received within seven (7) days after its due date, we may treat your booking as cancelled by you as of that due date, and the cancellation terms set out in this Agreement will apply.
Depending on the retreat, guests may have the option to add on additional services/activities to a retreat for an additional cost. Payment for additional services/activities is due 90 days prior to the start of your retreat, along with the final installment of the retreat price, as outlined above.
Booking Travel
Inside Story’s retreats do not include booking airfare or other travel accommodations before or after the retreat. You are solely responsible for booking and paying for your own travel, including but not limited to flights, international departure taxes, airport transfers, passports, visas, baggage charges, gratuity, travel insurance, ground transportation, rental cars, car services, buses, trains, hotels and other accommodations, retreats, experiences, and other activities before and after the retreat.
Inside Story may provide recommendations for transportation options to and from the retreat. Any recommended transportation options are subject to change at any time and Inside Story is not responsible for any changes to any recommended transportation before or after the retreats.
Transportation During the Retreat
Inside Story will pick guests up at a specified location at the start of the retreat. Guests must notify Inside Story in writing of their arrival time at the specified pick-up location. If the guest is not at the specified location for pickup, it is the guest’s sole responsibility to arrange their own transportation to the retreat location at their own expense. During the retreat, Inside Story will coordinate and/or provide transportation. Transportation during the retreat may include walking, public transportation, private transportation, or transportation provided by a retreat location.
Cancellations by the Guest
Inside Story curates retreats and experiences with vendors who often require non-refundable commitments; our cancellation windows for retreats are as follows:
91+ Days Prior to Retreat: Loss of deposit only. Any amounts you have paid above the deposit will be refunded. Your deposit will be converted to a credit that may be applied toward any Inside Story retreat, valid for 12 months from the date of cancellation.
90 to 61 Days Prior to Retreat: 25% of total retreat price is non-refundable.
60 to 31 Days Prior to Retreat: 50% of the total retreat price is non-refundable.
30 Days or Less Prior to Retreat: 100% of the total retreat cost is non-refundable.
If we are able to fill your place in the retreat after you cancel, we will refund everything you paid, less your $1,000 deposit and a $250 administration fee, regardless of the date of your cancellation.
Note: We strongly recommend all guests purchase “Cancel for Any Reason” (“CFAR”) travel insurance.
Cancellation by Inside Story
In the unlikely event Inside Story needs to cancel a retreat and is unable to reschedule, except in the case of a force majeure as described below, we will give you a full refund of all sums you have paid to Inside Story for services not provided. Where your funds are still held by Inside Story, the refund will be made within 14 days of the cancellation; otherwise the refund will be made within 30 days of the cancellation. If you prefer, you may instead ask us in writing, after the cancellation, to apply the sums you have paid toward another Inside Story retreat or date. Inside Story has no other obligation to retreat guests on cancelled trips. This includes, but is not limited to, any costs and/or fees related to travel insurance, airfare cancellation, and travel arrangements you have made outside of your retreats or this Agreement.
Force Majeure
We cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or you otherwise suffer any loss, injury, death, inconvenience, or damage as a result of circumstances amounting to “force majeure.” “Force majeure” means any event or circumstances which we or the supplier of the services in question could not foresee or avoid. Such events and circumstances may include, acts of God, actual or threatened, war, insurrection, riots, strikes, civil action, decisions by governments or governing authority, technical or maintenance problems with transport, changes of schedules or operational decisions of air carriers, terrorist activity or the threat thereof, industrial action, natural or nuclear activity, epidemic, illness, global pandemic, physical injury, quarantine, medical or customs or immigration regulation, delay, or cancellation, adverse weather conditions, fire and all similar events outside our control.
Retreat Itineraries Subject to Change
Inside Story is determined to follow each retreat itinerary as advertised to you. However, unforeseen circumstances may arise, and we need to be flexible enough to work with these unforeseen and/or unavoidable circumstances. We reserve the right to make changes to the itinerary at our sole discretion. Uncompleted portions of the retreat itinerary are not eligible for any refund. To the extent available, we will try our best to provide alternate activities comparable in value.
Travel Insurance
We highly recommend comprehensive travel insurance, which may be your only means of receiving reimbursement in the event of trip delays, cancellations, interruptions, or lost luggage or other valuables. We also recommend that you check your health insurance coverage to determine whether your coverage extends to international travel. Inside Story assumes no responsibility for losses due to trip delays, interruptions, cancellations, illness, injury, lost luggage or other valuables.
Medical Insurance
To participate in any retreat offered by Inside Story, each guest must maintain, at their own expense, valid and adequate medical insurance for the full duration of the retreat. Proof of such medical insurance coverage may be requested by us at any time prior to or during the retreat.
At a minimum, each guest’s medical insurance policy must provide coverage for the following:
Emergency medical treatment and hospitalization, including injuries sustained during any retreat activities, including but not limited to swimming, hiking, walking, and use of saunas;
Emergency medical evacuation and repatriation to the guest’s country of residence;
Any pre-existing medical conditions that may require treatment or emergency intervention during the retreat;
Coverage amounts sufficient to cover the reasonable costs of medical care in the regions where the retreat takes place.
You acknowledge and agree that Inside Story is not responsible for obtaining or maintaining medical insurance coverage on your behalf, nor for any medical costs, evacuation expenses, or other losses incurred as a result of your failure to obtain adequate insurance. You assume full financial responsibility for all medical and emergency expenses not covered by your insurance policy. We reserve the right, in our sole discretion, to deny participation to any individual who fails to provide satisfactory evidence of required medical insurance coverage.
Passports and Visas
You are responsible for ensuring that all necessary travel documents are valid and effective and in your possession for the entire trip. Valid passports are required for travel to most destinations, and visas are required for many. You are solely responsible for checking with the appropriate consulate or embassy for the latest entry requirements and hereby release Inside Story from any duty or responsibility for verifying entry requirements, including but not limited to passport, visa, and vaccinations.
Any information provided to you is merely provided as a courtesy and it is your sole responsibility to ensure you have met all travel requirements for each destination in your itinerary.
Travel Advisories & Warnings
International travel is not without risk. By offering reservations for travel in international destinations, Inside Story makes no representation, warranty, or guarantee that travel to such areas is advisable or without risk or danger. We may advise you regarding travel to a destination; however, it is your responsibility to conduct your own research and become informed about the destinations in your trip itinerary, including knowledge about any travel advisories and warnings issued by government authorities in your country. In the U.S., you must consult the U.S. State Department’s website at www.travel.state.gov or contact them by phone at the number specified on their website.
You are responsible for protecting your own well-being and personal property before, during, and after your trip.
Your Health
It is your sole responsibility to consult with your physician for current recommendations on inoculations and other health precautions prior to your travel. It is also your sole responsibility to ensure you meet all health entry requirements and follow all medical guidance related to your travel. This includes ensuring any and all vaccinations, inoculations, or prescribed medications are taken as directed by your local doctor and/or travel clinic for the areas visited. You represent and warrant that you are in good health and are able to participate in retreat activities.
Some retreats will require guests to engage in physical activities, such as walking long distances. It is your sole responsibility to manage your physical activity level and take breaks if or when necessary.
Any concerning health issues you may have or requests for disability accommodations need to be reported to us, in writing, immediately upon booking a retreat. This includes but is not limited to food restrictions, disability, pre-existing physical or mental health conditions, or any special requirements for a disability or medical condition. We will make all reasonable efforts to accommodate requests but cannot be responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the guest requiring the accommodation. Please note that accommodations outside of the United States may not be in compliance with the Americans with Disabilities Act and may not have wheelchair accessibility. The retreat guides, retreat leaders, and local vendors are, unfortunately, unable to offer additional assistance to passengers with limited mobility and all such assistance will need to be provided by whoever the passenger is traveling with. Participants with disabilities must notify us in writing no later than the time of booking of status and of the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance. We may request that you provide a letter from your doctor confirming your fitness to travel.
We reserve the right to cancel your reservation if we think this is in the best interest of your health. In the event illness strikes you while on a retreat, unfortunately no refund will be offered.
Participation and Conduct
Each guest is expected to act responsibly and adhere to all behavior guidelines established by Inside Story and our local vendors. Inside Story and our local vendors have the exclusive right and discretion to expel someone from a retreat at any time. Reasons for such a decision include, but are not limited to, becoming a threat to yourself and/or to others, heavy intoxication, blatantly disrespecting others, or engaging in behavior that is incompatible with the safety, comfort, or convenience of other guests on the retreat. You hereby waive and release any right you may have to make a claim against Inside Story for expelling you.
For your lodging accommodations and any activities and/or experiences during your retreat, you accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be paid directly at the time to the accommodation or company owner or manager or other supplier. You must indemnify Inside Story for the full amount of any claim (also including legal costs) made against Inside Story. We are not responsible for any costs incurred concerning a guest removed from the lodging establishment. You agree not to hold Inside Story or any of its related entities liable for any actions taken under this Agreement. Other important notes:
Baggage and personal effects are at all times your sole responsibility.
Tardiness: Our retreats are an exciting experience rather than a military drill. Nonetheless, if you are considerably late, then the group may need to leave without you. In this event, however, we would do our best to assist with accommodations allowing you to catch up with the group, such as by hiring a private vehicle, at an additional cost to you.
Tipping: Tipping is appreciated but is not required. This includes but is not limited to, bellboys, waiters/servers and local retreat guides.
Alcohol/Drugs: Use of alcohol and recreational drugs on retreats specified as “substance free” may be cause for expulsion from the retreat.
Photographs and Media
You hereby grant Inside Story permission to film and/or photograph you for any reason during the retreat, including for marketing and promotional purposes. Further, you grant Inside Story a non-exclusive, royalty-free, perpetual license to use such media. You also understand and agree that you cannot film and/or photograph any retreat guest or Inside Story employee, agent, or independent contractor without permission. Should a retreat guest film or photograph you without permission, you hereby agree to release any rights that you may have to make a claim against Inside Story.
Disclaimers
THE SERVICES AND ANY CONTENT INCLUDED ON OR OTHERWISE MADE AVAILABLE TO YOU THROUGH THE SERVICES (INCLUDING THIRD-PARTY SERVICES AND MATERIALS) ARE PROVIDED TO YOU ON AN AS-IS BASIS WITHOUT ANY REPRESENTATIONS OR WARRANTIES OF ANY KIND. WE DISCLAIM ANY AND ALL OTHER WARRANTIES AND REPRESENTATIONS (EXPRESS OR IMPLIED, ORAL OR WRITTEN) WITH RESPECT TO THE SERVICES AND CONTENT INCLUDED ON OR OTHERWISE MADE AVAILABLE TO YOU THROUGH THE SERVICES (INCLUDING THIRD-PARTY MATERIALS) WHETHER ALLEGED TO ARISE BY OPERATION OF LAW, BY REASON OF CUSTOM OR USAGE IN THE TRADE, BY COURSE OF DEALING OR OTHERWISE.
Assumption of Risk
YOU UNDERSTAND AND ACKNOWLEDGE THAT TRAVELING AND PARTICIPATING IN THE RETREATS OFFERED BY INSIDE STORY, INCLUDING ACTIVITIES SUCH AS HIKING, LONG WALKS, SWIMMING, USING SAUNAS, VISITING COASTAL/TIDAL LOCATIONS, AND PARTICIPATING IN EMOTIONALLY INTENSE RITUAL WORK, INVOLVE INHERENT RISKS AND HAZARDS. SUCH RISKS AND HAZARDS INCLUDE BUT ARE NOT LIMITED TO hazards of travel by train, automobile, motor coach, aircraft, vessel and other means of conveyance, animal interactions, forces of nature, political unrest, other unrest, risks associated with water, food, plants, insects and differing animal regulation, BODILY INJURIES, ILLNESS, OTHER LOSSES, AND DEATH. YOU AGREE THAT YOU ARE TRAVELING AND PARTICIPATING IN THE RETREAT VOLUNTARILY AND AT YOUR OWN RISK AND ASSUME ANY AND ALL RISKS AND HAZARDS INVOLVED IN THE RETREAT.
Release and Limitation of Liability
You agree that you are traveling AND PARTICIPATING IN THE RETREAT at your own risk and release Inside Story from any damage, loss, or injury that may occur during your trip, including but not limited to bodily injury or death, whether known, unknown, or foreseeable, regardless of cause, except for gross negligence or willful misconduct.
Inside Story is not responsible for the acts or omissions of other guests, including but not limited to roommates in shared accommodations.
You agree that the maximum remedy for any default by Inside Story arising under this Agreement shall be the return of the paid cost of Services, to the extent consistent with applicable law. To the maximum extent permitted under applicable law, Inside Story shall not be liable for any special, consequential, indirect, incidental, or other damages arising out of or in any way connected to this Agreement, including lost profits, whether such damages arise in contract, negligence, tort, under statute, in equity, at law, or otherwise, even if Inside Story has been advised of the possibility of such damages. You expressly waive any right you may have to recover such damages.
During the retreats, if a guest notifies Inside Story of a complaint about the retreat, we reserve the right and reasonable opportunity to remedy or cure the complaint prior to the guest pursuing other remedies.
Indemnification
You agree to defend, indemnify, and hold harmless Inside Story, its affiliates, and their respective directors, officers, employees, agents and representatives, from and against any claims, damages, losses, liabilities, costs and expenses (including reasonable attorneys’ fees) arising out of your use of the Services, including without limitation any actual or threatened suit, demand, or claim arising out OF your violation of this Agreement, your violation of the rights of any third-party, or property damages caused by you.
Waiver and Severability
No waiver by Inside Story of any term or condition set out in this Agreement shall be deemed a further or continuing waiver of such term or condition or a waiver of any other term or condition, and any failure of Inside Story to assert a right or provision under this Agreement shall not constitute a waiver of such right or provision.
If any of these terms are determined to be illegal, invalid, or otherwise unenforceable by reason of the laws of any state or country in which these terms are intended to be effective, then to the extent and within the jurisdiction in which that term is illegal, invalid, or unenforceable, it shall be severed and deleted from these terms and the remaining terms shall survive, remain in full force and effect, and continue to be binding and enforceable.
Binding Arbitration
If any claim, controversy, or dispute arises out of or relates to this Agreement, or the breach, termination, or invalidity thereof, and if the dispute cannot be settled through negotiation, the parties agree to settle the dispute by binding arbitration administered by the American Arbitration Association. The place of arbitration shall be Seattle, Washington. The award rendered by the arbitrator shall be final and binding upon the parties, and judgment upon the award may be entered in any court having jurisdiction. The allocation of expenses of the arbitration shall be effected by the arbitration decision. Any arbitration commenced hereunder and the arbitrator’s authority to grant relief shall be subject to the Federal Arbitration Act and the law of Washington to the extent applicable, and otherwise to comparable arbitration provisions under the laws of Washington.
Class Action Waiver
The parties agree that any claims will be adjudicated on an individual basis, and each waives the right to participate in a class, collective, or other joint action with respect to the claims.
Governing Law and Jurisdiction
This Agreement shall be governed by and construed in accordance with the laws of the State of Washington, without regard to conflicts of laws principles. You hereby irrevocably and unconditionally consent and submit to the exclusive jurisdiction of the state or federal courts located in King County, Washington over any suit, action, or proceedings arising out of this Agreement.

Updates to these Terms and Conditions
We reserve the right to update, alter, or amend these terms and conditions at any time. Any updates will take effect upon posting to our website. The terms and conditions in effect at the time of your signature below and purchase of Services will apply.
